How Far in Advance Should You Book Catering in Kansas City? A Realistic Timeline for Every Type of Event
Share
One of the first questions people ask me after they decide they're hosting an event is surprisingly simple.
"How early should I book catering?"
I wish there were one easy answer.
The truth is, it depends on the type of event, the time of year, your guest count, and how flexible you can be. A corporate lunch for twenty people next Tuesday is very different from a Saturday wedding in October, and both require different levels of planning.
The good news is that you don't have to have every detail figured out before reaching out to a caterer. In fact, I usually recommend starting the conversation earlier than most people think. Even if you're still deciding on a venue or finalizing your guest list, getting on a caterer's calendar early gives you far more flexibility.
At KC Snack Co., we've worked with events planned months in advance and others that came together in just a few days. While every situation is different, there are some patterns I've noticed that can help you plan with a lot less stress.
Weddings: The Earlier, the Better
If you're planning a wedding, catering is one of the vendors I'd encourage you to book sooner rather than later.
Most couples begin by securing the venue and photographer, but catering should usually be close behind. Once your date is set, there's a good chance other couples are looking at that same weekend, especially during spring and fall when wedding calendars fill up quickly.
Booking several months in advance gives you time to think through the details that actually make a difference. You'll have space to talk through guest flow, cocktail hour, dietary restrictions, timing, setup, and presentation without feeling rushed.
More importantly, you have options.
Waiting until the last minute doesn't necessarily mean you won't find catering, but it often means you're choosing from whoever happens to still be available rather than the team you were most excited to work with.
Corporate Events Often Move Faster Than You Expect
Corporate events are a little different.
Sometimes businesses know about a conference or client appreciation event months ahead of time. Other times, a leadership meeting gets scheduled with only a week's notice.
The good news is that experienced caterers are used to both.
If you know an event is coming, reaching out early is always helpful. It gives everyone more time to coordinate delivery windows, building access, setup logistics, dietary accommodations, and any special requests.
If your event comes together quickly, don't assume it's too late.
I've seen plenty of successful office lunches, networking events, and client meetings planned in a relatively short amount of time. The earlier you reach out, the more likely there will be flexibility to make it happen.
Memorial Services Require Compassionate Flexibility
Memorial services are unique because families rarely have the luxury of planning months in advance.
Everything happens quickly.
During an already emotional time, food should be one less thing to worry about.
One thing I appreciate about working with memorial gatherings is that everyone understands the circumstances. Communication tends to be focused on making the process as simple as possible rather than following a long planning timeline.
If you're organizing a celebration of life or reception after a service, don't hesitate to reach out even if the event is only a few days away. Every schedule is different, but asking is always worthwhile.
Baby Showers, Bridal Showers, and Birthday Parties
Private celebrations usually offer the most flexibility.
That doesn't mean you should wait until the week before.
Many weekends throughout the year are surprisingly busy with weddings, graduations, school events, holiday parties, and community celebrations all happening at once. Booking earlier simply gives you more choices and allows more time to personalize your event.
It also makes planning far more enjoyable.
Instead of wondering whether your catering is taken care of, you can focus on invitations, decorations, and actually looking forward to the day.
The Time of Year Matters
One thing people don't always consider is that demand isn't spread evenly throughout the year.
Spring and fall tend to be especially busy because of weddings, graduations, showers, and outdoor celebrations.
November and December fill quickly with holiday parties, corporate gatherings, and family events.
Summer weekends often bring reunions, backyard parties, and neighborhood celebrations.
If your event falls during one of those busy seasons, reaching out earlier can make a significant difference.
You Don't Need Every Detail Before Contacting a Caterer
One misconception I hear fairly often is that people think they need to have everything finalized before they can inquire.
You don't.
Most caterers can begin a conversation with just a few basic pieces of information:
Your event date.
An estimated guest count.
The general type of event.
The city or venue.
Everything else can usually evolve from there.
Guest counts change. Menus get refined. Timelines shift.
That is completely normal.
Starting the conversation early simply gives everyone more room to adjust as plans develop.
What Happens After You Reach Out?
People are often surprised by how collaborative the process actually is.
A good caterer isn't just taking an order.
They're helping you think through questions you may not have considered yet.
How long will guests be eating?
Is this replacing a meal or serving as an appetizer?
Will there be children attending?
Are there dietary restrictions?
Does the venue have setup limitations?
Will food need to stay out for several hours?
Those conversations are what transform catering from simply providing food into creating an experience that fits the event.
If You're Planning an Event, It's Never Too Early to Ask
If there's one piece of advice I'd give anyone planning an event in Kansas City, it's this:
Reach out sooner than you think you need to.
You don't have to commit immediately.
You don't need every detail finalized.
You don't need a perfect plan.
Starting the conversation early simply gives you more flexibility, more peace of mind, and a better chance of creating the kind of gathering you actually envisioned.
At the end of the day, the goal isn't just to reserve a date.
It's to make planning feel easier so that when your guests arrive, you can spend your time with them instead of worrying about everything happening behind the scenes.
